CenterOnline is a comprehensive management system for language centers, tutoring centers and extracurricular centers. Its cloud-based management platform provides centers with easy-to-use, built-in functions to manage customer relationship (CRM), scheduling, attendance, billing & payment, reports and e-learning/blended-learning. About CenterOnline

It is CenterOnline’s contractual responsibility to ensure that the CenterOnline cloud service is provided to Customer stably and continuously. Throughout the duration of CenterOnline’s service contract with Customer, CenterOnline takes responsibility to fix system problems immediately, within time frame stated in the Service Contract, to ensure continuous and uninterrupted usability of the system and app.
As stated in CenterOnline’s Data Protection Policy (https://omt.vn/en/data-protection-policy/) we are committed to high level of Internet security and customer information’s privacy, in accordance with the provisions of the laws of Vietnam.

CenterOnline provides updated user guide for Customers, including user manuals, training videos, online and in-person user training. CenterOnline will provide training support when Customer has a new administrator.

Furthermore, CenterOnline provides support to customers throughout the service contract period in the following channels:
• Telephone support by CenterOnline or in-country partner, as appropriate;
• Remote computer support via TeamViewer, UltraViewer
• Chat support via Zalo, Viber or Skype
• Email support from CenterOnline Support Center, through: CenterOnline@omt.vn

In cases when CenterOnline undertakes scheduled upgrade and system maintenance, CenterOnline will notify Customer with sufficient notice time in advance.

Service Policy

CenterOnline is a top-3 most popular cloud-based system for learning centers management, as well as for teacher-student and center-student communication. CenterOnline is developed by The Online Management Training Company (OMT), a pioneer in Software-as-a-Service (SaaS) for the education sector in Vietnam. As system service provider, at OMT we take the safety, security and privacy of all information seriously. We have put in place the latest security systems and policies to ensure data security and respect the privacy of all our users.

We update our processes and systems regularly to comply with updates from the Vietnam Law on Protection of Children 102/2016/QH13 enacted by the National Assembly of Vietnam on 05/04/2016, Law on Information and Communication Technology 67/2006/QH11 enacted on 29/06/2006 and Law on Internet Security 24/2018/QH14 enacted on 12/06/2018.
Web security
All information on CenterOnline database is stored behind an encrypted password, both for the centers, students and parents. Only those with authorization are able to access the CenterOnline system.
The system login website has a Secure Sockets Layer (SSL) certificate. SSL is an industry standard for securing online transactions. Having SSL certificate ensures that all data passed between the CenterOnline server and your browser remains private.

Server security
Information on CenterOnline is stored on cloud infrastructure provided by Amazon Web Service and Vietnam’s leading cloud service providers, ensuring the most secure cloud computing environments available in the country with highly secure data centers utilizing modern electronic surveillance, access control systems and 24x7 security guard protection.

Access to information
Access to a student’s information through CenterOnline app is provided only to the student’s immediate family members registered to the center and CenterOnline. Only the primary guardians of a young student (in most cases, the student’s father and mother) can register to have access to the student’s information on CenterOnline app. This access can also be revoked at any time at the discretion of the primary guardians.

Privacy of information
CenterOnline does not own any personal information about the student that is stored on our server, including any photos or videos. Personal information on CenterOnline system is not shared with any third party, except in special cases where either CenterOnline or the center will ask for express written consent by the student’s primary guardians, or the student himself/herself, before using any personal information of the student, for example his/her pictures, for marketing or other purposes.

2. Does CenterOnline have a mobile app for center administrators?

At the moment, CenterOnline does not come with an App for Center Administrator, but we do provide apps for Parents and Teachers. Rest assured, Center Administrator can still easily monitor the whole school and export reports from the web-based interface.

3. Can Parents use the web version of CenterOnline?

Yes. CenterOnline comes with an App version for Parents to follow their children’s information more quickly and conveniently. However, Parents can still opt to use the Web version, for example when helping their children to do online tests and assignments.

4. What kinds of information can the Center Administrator(s) see?

Center Administrators are assigned the highest level of authority on the system. They can view and export center-wide reports regarding Teaching-Learning activities, Finance and Billing, Student and User information, and Customer Relationship Management (CRM). Additionally, they can manage value-added services and interact directly with different user groups.

5. When using CenterOnline, is my Center entirely dependent on the software provider for system and user support?

Not at all! CenterOnline makes it easy and intuitive for everyone to use our system and app with minimal technical support. Furthermore, at the start of the service, CenterOnline organizes online training sessions for each specific user group (Teachers, Administrators and Parents) to ensure Centers are well-capable of operating on their own. If there’s any problem, our customer support email and chat are available Monday through Friday to provide extra assistance to your Center.

6. Is it difficult to use CenterOnline?

Using CenterOnline is truly no brainer. Our system is made to be as intuitive to teachers, parents, and students as if they are just using another popular messaging and productivity app. Our customer support chat and email are available Monday through Friday to answer all user questions, from forgotten passwords to more tricky problems. Do try CenterOnline for yourself, and prepare to be amazed at how easy it is to use our product!

7. Do I have to worry about Internet security and user information privacy when using CenterOnline?

Before the Center officially starts to use our services, both parties will sign a Service Agreement Contract that includes specific provisions on the confidentiality of user information and privacy protection. We regularly update our data protection measures to ensure highest possible level of Internet security and

user information privacy for all our customers. Do check CenterOnline’s page on Information Security and User Information Privacy policy for updates.

8. How long does it take for a center to start using CenterOnline?

Once a service contract is finalized, CenterOnline’s Customer Service team will guide Center Administrators in creating your own center profile and user accounts on the system. It will take 3-7 working days for CenterOnline to complete the set-up and user training for Administrators, Teachers & Parents. After that, CenterOnline is ready for use in your center!

9. How does CenterOnline support online Learning and Testing activities?

CenterOnline software and app has been integrated with popular online learning systems like Zoom, Microsoft Teams, Google Meet to create online classes. Centers can also choose to use eLearn, CenterOnline’s proprietary LMS function, to pre-allocate their curriculum, create and host online assessments, tests and create learning schedules for students.

For English language centers, our eLearn LMS comes with built-in ELSA API to enable students practice their English pronunciation. Do contact us for further consultation on this feature and on-demand app integration.

10. How does CO support Customer Relationship Management (CRM) activities?

As of 2022, all 350 plus centers using CenterOnline’s CRM module are saying that it helps their centers maintain a truly professional and streamlined Customer Relationship Management (CRM) process. Using CRM module, Centers can easily save and access records of all present and previous Customer/Student Care activities, receive reminders for necessary follow-up action, and many more.

11. How is payment done via the app?

In Vietnam, CenterOnline has integrated popular e-wallet and online payment app like G-Pay, 9Pay, allowing parents to make payments for their children’s tuition fee to Centers directly on the app. We are working with payment portal providers in other countries for country-specific integration.
